This policy explains what information WORKFLOW Pro (the “App”) collects, why, and who can see it. The App is used internally by construction and property-management organizations to manage projects, track work, and coordinate crews and vendors — it is not a public consumer app.
Account information: name, email address, phone number, profile photo, and role. Most accounts are set up by your organization’s administrator; you may also create an account yourself and be added to an organization afterwards.
Push notifications: if you turn on check-in reminders or other alerts, we store the notification token your browser or device issues so we can send them; you can turn notifications off at any time in the App or in your device settings, and the token is removed when you do.
Location data: when you use the time clock, we record your device’s GPS coordinates at clock-in, clock-out, and periodically while you remain clocked in, to verify job-site presence. When you take a photo through the App, we record the location it was taken — this is stored as data associated with the photo, not visibly printed on the image itself.
Photos: images you capture for job documentation, inspections, or verification. These are visibly stamped with date and time.
Work activity: clock-in/out times, project and task assignments, and other records of work performed, entered by you or on your behalf by a supervisor.
To operate the App’s core features: scheduling, time tracking, payroll support, job costing, inspection records, and reporting for your organization’s administrators.
Access is controlled by your organization. Administrators and supervisors granted access to a project can generally see the work activity, photos, and location records tied to that project. We don’t sell your data or share it outside your organization except as described below.
If your organization connects Gusto or QuickBooks Online, relevant data (such as hours worked or project cost allocations) is shared with those services to support payroll and accounting. Those services have their own privacy policies governing how they handle that data once received.
Data is stored using industry-standard cloud infrastructure with access controls limiting visibility to authorized users within your organization. No system is perfectly secure, but we take reasonable measures to protect your information.
Location tracking is tied to actively using the time clock feature. Push notifications can be turned off at any time. Questions about what data is collected, or requests to access or correct your information, should go to your organization’s administrator. There are two kinds of account in WORKFLOW Pro, and what you can do depends on which one you have.
If you signed up yourself and created your own company, you can delete your account at any time from inside the App: open Profile → Delete my account, type DELETE to confirm, and your account is closed straight away. You can also ask by email — write to support@myworkplacepro.com from the email address on the account, with the subject “Account deletion request”. We may ask you to confirm your identity before acting on it. Requests are processed within 30 days.
If your employer created your account for you, you can’t delete it yourself, and the App doesn’t offer that option. Your account is part of your employment record — the hours you worked, the expenses you were paid back for, and the pay history that goes with them — and your employer is required by law to keep those records. If you want your personal details corrected or removed, ask your employer, or write to the address above and we’ll work with them on it. Those records stay available to you to look at; if you leave the company, your employer ends your employment on their side rather than deleting your account.
What is deleted: when an account is deleted, that means your login and your personal details — name, email address, phone number and profile photo — along with your access to every organization in the App and any push-notification tokens for your devices. Once deleted, you cannot sign in again.
What is retained: records of work performed — clock-in and clock-out times, job-site location records tied to those entries, timesheet approvals, photos and other job documentation — belong to the organization you did the work for, which is required to keep them for wage-and-hour, payroll, tax and audit purposes. These records are kept for the retention period the law requires, and after your account is deleted they no longer carry your name, email or phone number — they are shown only as “Deleted user”. If you are the only administrator of an organization, you will be asked to make someone else an administrator before your account can be closed, so the organization does not lose access to its own records.
We may update this policy from time to time. Material changes will be reflected by updating the date above.
